iTWO cx Tips & Tricks – Distribution Rules
For our current blog series, we will be asking our iTWO cx Consultant team to take us through their best iTWO cx tips & tricks that help users to work as efficiently as possible. This month, we spoke to our CoE Team Leader Jeanine Patellis about Distribution Rules.
Distribution Rules are a great functionality within iTWO cx that has a lot of flexibility for users of the program. They allow automated addressing on individual or all forms, and can be used to address users, companies, roles or groups (though companies and roles cannot be added for action).
A general user can create a distribution rule by clicking on the action button when creating a form, as outlined in the screenshots below.

They can give it a name and title, then specify which form types it should apply to.

The rule can also be set on create and/or reply.
Once the initial information has been completed, the users who need to be addressed can be added.

There are a number of options for addressing which make the distribution rules useful. Selecting Enumerate means that groups or companies can be tagged so that all users will be added individually to the form. Distribution rules can be set as Preferred, Selected, Forced or Silent.
Once that’s completed, the rule is ready to be applied. If a distribution rule is applied to a form, when the form is created it will be automatically addressed. If the rule is forced, users cannot be removed, if they are suggested they can be removed and replaced.
A project administrator can create a distribution rule through the configure module. Project Administrators can also set a distribution rule as available to all, whereas standard users will just have them for their own use.
There are many benefits to creating distribution rules. It allows for easy addressing of forms, ensuring that required recipients are always added to the relevant forms so that communications are visible and transparent. It also helps take the guess work out of who needs to be informed on certain form types.
