My Favourite iTWO cx Feature – Share Lists for Defects Management

For our latest blog series, we will be asking our iTWO cx Consultant team to take us through their favourite iTWO cx feature and explain why it creates value for our clients. This month, we spoke to Brisbane-based Consultant Rebecca David about Share Lists for Defects Management.

The iTWO cx Defects Dashboard is home to a helpful tool that allows you to share a list of documents with other users on the project. This shared list helps users to easily access real-time defects information via their registered email account.

To find this share functionality, simply navigate to the Defects option in the Menu column before clicking the Share button in the top-right corner.

From here, click Add New Share to configure a list that suits your needs.

As shown below, you can select from a wide range of options including the defect document type, as well as the users you wish to share with (Recipients), the default text, and customised criteria to suit your workflow. Once these options are assigned, you can schedule the cadence of the emails and even set a starting date and time.

In the above example, we’ve setup a workflow so that relevant subcontractors will receive an email showing all defects that have been Issued For Repair on the listed project. The subcontractor will receive a message to their registered email account, with a link they can follow to see a summary of all defects that need attention.

Once the defect has been rectified, the subcontractor can simply click the green Done button, which will feed back to the Defects Manager and automatically change the status of the item to For Inspection.


Why are Share Lists for Defects Management Helpful?

iTWO cx is built to reward managers who take the time to construct custom workflows that suit the project at hand. Creating share lists for subcontractors ensures that workers out in the field are always notified about important items that need repair. The Defects Manager can also relax, knowing that automated emails with all necessary detail have been configured in advance.

Managers can create as many share lists as required, depending on the size of the project, subcontractor roles and other considerations. This iTWO cx feature also supports accountability, as managers can be certain that subcontractors have access to real-time information when they need it.
